Who this policy covers
This Privacy Policy applies to personal information handled by Scott Gilbert Mills, operating as SGM Studios (“SGM,” “we,” “us,” or “our”), through sgmstudios.ca, direct business inquiries, and client-service administration.
“Personal information” means information about an identifiable individual. Business information that does not identify an individual may fall outside some privacy laws, but SGM still handles it according to project confidentiality commitments.

Information SGM may collect
Website and hosting information
The hosting provider may automatically record standard technical information such as IP address, browser type, requested page, date and time, referring page, and security events. SGM uses this information only for hosting, security, troubleshooting, and basic service operation unless this policy is updated.
Audit-request form
The form on this Site processes the store URL, name, role, traffic range, timing, and message in your browser to prepare an email. Nothing is sent until you choose to send it through your email provider. The Site does not store the typed values.
Inquiries and business records
If you email SGM, it receives the information you send, such as your name, email address, role, company, store URL, message, and related correspondence.
Client projects
After a project is accepted, SGM may receive business contacts, contracts, invoices, project files, account-access details, store or site information, analytics exports, issue records, and other information described in the Scope. SGM asks clients not to provide customer-level or sensitive personal information unless the work requires it and an approved handling method is agreed.

Why SGM uses information
- Respond to an inquiry and assess whether the requested work is a fit.
- Prepare a scope, estimate, agreement, invoice, or project plan.
- Deliver, secure, test, document, support, and hand off agreed services.
- Keep business, accounting, tax, consent, suppression, and dispute records.
- Protect SGM, clients, the Site, and others from error, misuse, fraud, or security incidents.
- Meet legal obligations and enforce agreements.
SGM will not use project data for a materially different purpose without notice and consent where required.

Consent and choices
SGM seeks consent in a form appropriate to the information and purpose. Sending an inquiry allows SGM to reply about that inquiry; it does not automatically subscribe you to marketing.
If SGM later offers optional marketing email, the choice will be separate and unselected by default. You may withdraw optional consent, subject to legal or contractual limits.

Processing outside Saskatchewan or Canada
Some hosting, email, document, payment, cloud, or project-service providers may process information in Canada or the United States. The written project documents should identify any additional processing country that applies to client information where required.
Information processed in another country may be accessible to courts, law enforcement, or national-security authorities under that country’s laws. Contact the Privacy Officer for current information about providers and processing locations relevant to your inquiry or project.

Retention and deletion
SGM keeps information only as long as reasonably needed for the inquiry or project, client support, contractual commitments, accounting and tax obligations, consent or suppression evidence, security, disputes, and legal requirements. When information is no longer needed, SGM securely deletes, destroys, or anonymizes it.
Project handoff records should state which client data is returned, retained, or deleted and when account access is removed. You may ask the Privacy Officer about the retention rule for a particular record.

Safeguards and incidents
SGM uses administrative, technical, and physical safeguards appropriate to the information, such as minimum access, account separation, secure transfer methods, access review, backups where appropriate, and documented handoff. No system is perfectly secure.
If a privacy or security incident occurs, SGM will investigate, contain it, preserve required records, and notify regulators or affected individuals where applicable law requires.

Your access, correction, and complaint choices
Subject to applicable law, you may ask SGM to:
- Confirm whether it holds your personal information.
- Provide access to it.
- Correct inaccurate or incomplete information.
- Explain its use, disclosure, retention, or processing location.
- Withdraw optional consent.
- Review a privacy concern or complaint.
Send a written request to the Privacy Officer. SGM may verify your identity and may withhold information where law permits or requires. SGM will respond within the time required by applicable law.
You may also contact the Office of the Privacy Commissioner of Canada where that office has jurisdiction. Qualified counsel can identify any other regulator that may apply to a particular matter.

Children
The Site and services are intended for business users and adults. SGM does not knowingly seek personal information from children through the Site.

Policy updates
SGM may update this policy as the Site, services, providers, or legal requirements change. The effective date above will change. If a material new purpose, recipient, or risk requires consent, SGM will seek it rather than relying only on continued use.
